Calendar-driven payroll for tutors

Add at least one calendar and one tutor first. Recurring classes are expanded automatically.

Tutors

If a calendar isn't assigned to a specific tutor, events are matched to tutors whose name or keywords appear in the event title/description. Rates are $/hour per student. Class rules let a tutor be paid differently by subject or level — e.g. keywords "senior, HSC" → $40, "junior" → $30. A student's own rate always wins; otherwise the first matching class rule applies; otherwise the tutor's default.

Students & rates

Students are detected in each class by matching their name (or aliases) against the event title, description and guest list. Client rate is what the company charges the client per hour; tutor rate is what the tutor is paid — the difference is your margin. E.g. client $85/hr, tutor $65/hr → $20/hr margin.

Student accounts

Lesson charges come straight from the calendar (client rates × hours). Record payments here — a bulk prepayment shows as credit on the student and automatically covers lessons oldest-first as they happen. Lessons unpaid past the deadline become overdue, and payroll shows which lessons are client-paid.

Calendars

Easiest setup: in Google Calendar → Settings → your calendar → Integrate calendar, copy the Secret address in iCal format and paste it here. Or export an .ics file and upload it. Assign a calendar to one tutor, or leave it on “auto-match” for shared calendars.

Settings

All-day events and cancelled events are always ignored. Group classes without matched students are priced from head-counts written in the title, e.g. “Maths x3”, “group of 4”, “3 students”. There is deliberately no company-wide default rate: a class with no student rate, class rule or tutor default prices at $0 and is flagged in the report so it can't be silently mis-paid.
